Shared Facility Use Covenant

This building isn’t just a place—it’s a home where lives are transformed as people encounter Jesus. As two churches sharing this space, we are committed to serving one another in unity and respect. Together, we want this place to reflect God’s heart for people and His desire to reach our city with His love. We believe we’re better together, and that our partnership makes a greater impact than we could ever make on our own.

Purpose

This agreement establishes shared expectations for the use, care, and scheduling of the church building. Our goal is to foster unity, respect, and good stewardship of the facilities God has entrusted to us. We desire that both churches feel equally at home, that the building is used often for ministry, and that each group takes responsibility for caring for it well.

1. Facility Scheduling and Requests

  • All events must submit a Facility Request Form.
  • Requests should be submitted at least 2 weeks before the event, however earlier is preferable. Please give extra time if you submit a request on a weekend. 
  • Before planning your event, please wait for the confirmation from Pastor Amy that the facility is available. 
  • Unscheduled or last-minute events may not be accommodated if they conflict with previously approved activities. 
  • Each church will appoint an Event Contact person for every event.  This person will communicate event details and will serve as the point of contact for all questions. This person and their contact information will be included in the facility request form.
  • Repeated use of the facility without following the scheduling protocol may result in the event not being approved in the future.

2. Cleaning and Reset Responsibilities

Each church agrees to leave the facility in ready condition for the next group.
The Cleaning and Reset Checklist should be followed before leaving the building. The Lead Contact is required to ensure that the following is done and he/she has walked the entire building to confirm before leaving.

This includes:

Fellowship Hall

  • Wipe down tables
  • Put tables away
  • Stack chairs, 7 high
  • Remove decor
  • Vacuum after food/messy events
  • Keep the side room off the kitchen organized (keep clutter to a minimum)

Kitchen

  • Wipe down all counters, sinks, and appliances
  • Wash, dry and put away all dishes
  • Put everything back in its place (keep clutter to a minimum)
  • Sweep and mop floors

Children’s classrooms

  • Put toys/supplies back in the right classroom and spot
  • Wipe down tables 
  • Stack kid’s chairs and return rolling chairs to original classroom
  • Make sure all markers have their lids on
  • Erase the Whiteboard

Sanctuary/Platform/Sound & Broadcast 

  • Clear stage and put back to “reset mode”

Reset mode: Leave all items that are shared between churches (for example, cameras
and piano) and clear out the rest to the side storage room. 

  • Pick up the area of belongings and trash, etc.

Lobby and all other areas

  • Clean up and return area back to its original set up
  • Pick up personal belongings

NOTE:  Failure to clean and reset the space may result in a cleaning fee being paid to the Facility Manager, Lee Quillen.

3. Sound, Stage, and Equipment

  • Any changes to the stage setup, sound system, or camera equipment must be returned to the standard “Sunday morning reset” before leaving.
  • Equipment may not be permanently moved, replaced, or reconfigured without prior approval from both churches.
  • If new equipment is purchased and intended for shared use, both churches must discuss and agree on the plan before installation.

4. Security and Building Lock-Up

Lock-Up Procedure  

The Lead Contact is responsible to ensure the lock up procedure is completed:

  • Lock all outside doors and windows
    • Lobby front doors
    • Sanctuary side door to 19th street
    • 2 downstairs doors that open to Daniels street
    • Back door from Fellowship Hall
    • Back door from kitchen
  • Turn off all lights

5. Evening and Late-Night Events

We recognize that some ministries take place later in the evening. Out of respect for our facilities team and neighborhood, we ask that all events conclude and the building be vacated by the time specified on the Facility Request form.

6. Communication and Problem-Solving

To maintain a strong partnership, both churches will:

  • Meet monthly to review scheduling, maintenance, and any concerns.
  • Commit to resolving conflicts directly and graciously, seeking understanding across cultural and language differences.
  • Strive to uphold unity and mutual respect as co-laborers in Christ.
